Salary Range: $59,311 – $61,874

Description of Duties:
The primary purpose of this position will be to provide program support for the NCSSM Foundation during the planning and implementation of the school’s fundraising campaign as well as overall Foundation operations beyond campaign-related tasks. This includes oversight and support of students serving as attaches and activities related to advancing the mission of the school, such as the student-led philanthropy fair. This position will also be responsible for managing the logistics of the Foundation Board, which includes scheduling board and committee meetings, coordinating food and beverage for on-site board meetings, plus arranging and testing technology needed for remote meetings. This position is responsible for formatting board documents and taking minutes for committee and board meetings, followed by distributing draft minutes to board members for approval.
Meeting and Event Coordination/Board Relations – Organize and support meetings and events, including scheduling and preparing agendas for the NCSSM Foundation Board and Campaign Steering Committee, as well as five additional board committees, most of which meet quarterly. Plan and execute a variety of events, managing all logistics such as venue selection, catering, technology needs, purchasing, and materials preparation. As a member of the event committee, the candidate will also support volunteer involvement in event planning. Building and maintaining strong, productive relationships with foundation board and campaign committee members is essential, as these connections play a vital role in the success of the school’s fundraising efforts. The position also involves coordination with other internal stakeholders who manage related boards (e.g., trustees, alumni, and current parents) to ensure clear communication and appropriate involvement of development team members. The role supports student-led philanthropic events, including the annual philanthropy fair and senior pledge drive.
Program Management – Independently manage the day-to-day operations of the NCSSM Foundation office, often on behalf of the Vice Chancellor of Development and Foundation President. The candidate will assist with gathering information and generating reports for board use, help prepare donor endowment reports, and serve as a backup for gift processing to ensure internal control compliance. The role includes managing calendars and travel arrangements for development team members, handling all division purchasing through E-procurement and P-card systems, and maintaining office supply levels. Responsibilities also include ordering furniture and equipment per state purchasing policies and preparing accurate and timely paperwork for human resources and business offices. Strong administrative and recordkeeping skills are essential, along with the ability to represent the division in meetings and communicate effectively with donors, partners, and stakeholders. The candidate will also oversee the foundation’s social media communications and collect and analyze data to support planning and reporting efforts.
Budgeting – Assist with budget-related tasks, including providing documentation to comply with North Carolina state regulations, supporting multi-state financial disclosures, and helping with the annual Foundation registration process. Collaborate with the business office to manage Foundation accounts, assist in budget preparation, and handle invoice processing, expense report submissions, and general account management. Maintaining up-to-date financial records and supporting the overall financial operations of the foundation office is a key responsibility.

- Prior experience working at an NC state organization is a plus.
Program Administration
- Ability to communicate NCSSM’s mission and respond to inquiries on all levels.
- Assist in managing NCSSM Foundation resources and budget.
- Ability to handle time-sensitive execution of documents and tasks.
- Experience in prioritizing projects and workflow to meet tight, and multiple, deadlines.
- Experience in fostering and maintaining good working relationships across multiple constituencies (donors, colleagues, vendors, etc).
Information Analysis and Decision-Making
- Ability to analyze complex financial statements and manage various program budgets.
- Ability to resolve challenges during the workday and engage senior leadership as appropriate.
Communication and Marketing
- Ability to work with the foundation’s top donors in a variety of capacities.
- Ability to effectively respond to inquiries by providing concise, accurate information in a timely fashion.
- Ability to maintain and enhance professional relationships to increase NCSSM support.
- Ability to communicate sensitive information in a discrete manner.
Consultative
- Ability to collaborate with various NCSSM stakeholders, including potential students and families, donors, community partners, and current NCSSM employees/administration.
- Ability to apply knowledge and understanding of current NCSSM practices.
Leadership
- Coordinate, facilitate, and participate in a collaborative approach for the completion of assignments.
- Ability to supervise staff.
- Ability to serve as an advocate for the Foundation as needed.
Minimum Education and Experience Requirements
Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Vacation and Personal Leave: SHRA employees earn from 14 days to 26 days per year based on years of state service. Leave is pro-rated for part-time and less than 12 month employees. Leave is earned monthly.
Sick Leave: 12 days per year. Leave accruals for part-time and less than 12 month employees are pro-rated.

Health Insurance: Employee only coverage under the State Health Plan (PPO) is provided to employees that work 30 or more hours a week. The cost is determined by the type of coverage elected by the employee. Dependent coverage is available by payroll deduction.
Retirement: Required participation for all employees working 3/4 time or more. Option (1) Teachers’ and State Employees’ Retirement System (TSERS) requires 6% of gross salary. Employees are vested for retirement after 5 years. Option (2) The Optional Retirement Program (ORP) requires 6% of gross salary. Employees in ORP are vested after 5 years of participating in ORP. As a participant in either retirement program, you are automatically covered for short-term disability (eligible after 1 year of service/no cost), long term disability (eligible after 5 year of service/no cost). Death benefit of minimum $25,000/maximum $50,000 based on previous 12 month salary (eligible after 1 year of service/no cost).
Supplemental Retirement Plans: Supplemental retirement plans provide an additional opportunity to help you reach your retirement goals. Supplemental Plan offerings such as a 401(k), 403(b), or 457(b) on a Roth (after-tax) or pre-tax contributions.
Tuition Waiver: Three courses per academic year tuition free (at any of UNC 17 campuses that offer courses) for permanent full-time employees.
