Overview
The National MPS Society seeks an Office Management Specialist that will fulfill our nonprofit’s Office Management position. The candidate will work with Team members throughout the day to help foster values of diversity and inclusion while embodying a positive office culture. The candidate will serve as a diversified office management liaison and is supervised directly by the President and CEO. Primary duties will include carrying out administrative support to Society Program Directors, Leads, and Coordinators.
The Office Management Specialist will ensure day-to-day operations of the office are managed; work closely with the Director of Development in gift processing; coordinate multiple programs in a diversified setting; work closely with others to engage in special projects annually; open and distribute mail; copy oversight; oversee the CRM program for gift processing; manage the logo store; support the Annual Family Conference with Team members; engage in committee meetings, and assist the organization in the successful adherence to its mission and vision.
The ideal candidate must include a minimum of 5+ years of office management experience. This essential position is full-time and located onsite. The National MPS Society is a 2500+ member organization in the rare disease community with seven professional staff members that work collectively under the oversight of the board of directors, using a $3 million budget to accomplish its mission.
Responsibilities include (but are not limited to):
- Data management including processing donations, generating financial and data reports, maintaining spreadsheets, and updating member database
- Working directly with the Director of Development and Controller to balance gifts
- Supporting National events ie; Conference, Gala, Raleigh Run
- Answering phone lines in a professional and courteous manner
- Serving as the initial point of contact and directing calls/inquiries as appropriate
- Office management including maintaining organized office/storage space and overseeing office supply purchasing and inventory
- Working with vendors to purchase office supplies and materials
- Performing clerical functions including but not limited to mailings, copying, email management, etc., and providing support to others in the office as needed
- Maintaining and updating online store as needed and managing shipment of orders
REQUIREMENTS:
- Degree and a minimum of (5) years of progressively responsible office management and support in a multi-person office environment. Preferred candidates will possess a bachelor’s degree in Communication, Business, or related field; or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
- Travel a minimum of three times each year for Board of Directors’ meetings and annual family conferences; capstone fundraising event, and patient ad board meetings.
- Ability to embrace technology platforms and manage multiple website content; rely on troubleshooting skills, quick learner, and proactive.
- Analyze data and information using established criteria to determine consequences and to identify and select alternatives. Compare, count, compute, tabulate, measure, differentiate, categorize, classify, copy, record, and transcribe data and information.
- Manage multiple projects with deadlines, with and without direct supervision.
- Advise and provide interpretation to others on how to apply policies, procedures, and standards to specific situations.
- Work collaboratively and effectively with fellow employees, Board Members, volunteers, organization members, committees, and other agencies and deal with the public in a courteous/tactful manner.
- Communicate effectively both orally and in writing.
- Apply simple mathematics, descriptive statistics, and algebraic formulas. Interpret statistical reports and/or formulation and equation data.
- Operate and maneuver equipment and machinery requiring simple but continuous adjustments, such as a motor vehicle, computer, printer, telephone, fax machine, calculator/adding machine, and copier.
- Coordinate eyes, hands, feet, and limbs in performing movements such as data entry and word processing.
- Oversee storage and inventory of all publications
- Strong Microsoft Suite skills are essential.
- Exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing, and pulling.
Additional Information:
Salary range: $52,000- $55,000, depending on work experience
